Detailed example of FilesAnywhere MetaData

A Real Estate office adds a MetaData Custom Form to track the progression of a property.  Team members (Jane and John) login to FilesAnywhere, save new documents to the Client Contracts folder and enter details about the property.  They might use a dropdown list to select a property type, the status or number of offers.  They might click the calendar to select a listing date, use the currency field to adjust listing price, or click an option button as information is gathered on the file.  Other team members having shared access to the folder search for MetaData make direct edits when needed.  Jane and John can also select matching files and take file actions, like downloading files, uploading new versions, or sending an email link to customers so they can have copies of all submitted files.

 

They create a new folder called "New Listings" where all properties will be stored.

 

Then they define custom MetaData fields for the New Listings property folder.

By defining the MetaData Fields on the "New Listing" folder, all subfolders will inherit the folders by default.  

 

They then create subfolders for each property address (example: "123 FilesAnywhere Way")

 

 

 

They then create the following subfolders:

Client Contracts - contains all signed documents

Pictures - Contains .jpg of photographs of the home

Offers - contains offers submitted

Title Company - contains all documents to be submitted to Title company

 

They can use the subfolders to receive files or share files with any non-FilesAnywhere guest, using an email link.

 

For example, the team members might need to receive updated photos from the photographer.  John can send a Dropbox link to the photographer from the Pictures folder so that the photographer uploads files directly into the folder!  The photographer can upload files directly into the folder within seconds, and John gets an email notification that the files have been dropped by the photographer. (Note:  alternatively, John could add the photographer as a user in their workgrouop, and assign the photographer access rights just to the "Pictures" folder).

 

After receiving all necessary files to go to closing, the realtor team can then send the entire folder to the Title Company via FileShare links.  This feature provides an instant email to the title company with all necessary documents from the seller to close the transaction.  The title company can easily download and print all files, any time, any where, without the need of expensive courier fees.
