Version Control
gives your team a method for working on files together, along with the
ability to refer back to prior versions of any file. The following
summarizes the new features.
| Automatic
File History |
|
On folders you designate, FilesAnywhereautomatically
creates a backup
copy of every file version that is uploaded. These can be accessed
later at any time, directly from a Version History repository folder.

Delete Protection
If File History is enabled for a folder, whenever users delete any files
or folders within that folder, or the folder itself, FilesAnywhereautomatically creates a separate
backup
copy of the file or folder being deleted and places this copy into the
Version History Repository under a "Deleted Items" folder. This
can be purged from the Version History Repository at any time. The automatic
delete protection feature also logs details of the Delete event and displays
this in the File History Report for the selected parent folder.
File History Report Browser
A dynamic File History Report summarizes all file updates recorded for
a selected file, or for all files in a selected folder. Earlier
versions of files can be directly downloaded by clicking on records in
the report. Details can be opened on any file version record, to view
comments and statistics about the file update. All Uploads and Deleted
are tracked. |
| Checkin/Checkout |
|
On designated folders, file editing is automatically tracked and controlled
via a built-in Checkin/Checkout process.

Users Checkout files to download and Checkin files to upload.
This feature prevents accidental overwrites and allows efficient, system-coordinated
editing of shared file spaces. Read-only downloads are also tracked in
the Version Control
database for querying and reporting folder activity later. |

Checkin/Checkout
Report Browser
A dynamic Checkin/Checkout Report displays
a detailed list of all file activity for the selected file, or for all
files in a selected folder, including user Checkouts, Checkins, and Downloads.
Earlier versions of files can be directly downloaded by clicking on records
in the report. Details can be opened on any file version record,
to view comments and statistics about the file transfer.
Advanced File Browser
The file browser provides a quick way to search
for files across multiple file folders and take actions on multiple selections
of files. Built-in query filters provide rapid access to specific types
of Version Control
files, such as all Checked Out files. Actions that can be taken on the
resulting file list include: Force Checkout, Undo Checkout, Download,
and Delete. |

| Email
Notification |
|
Folders can be selected to have an email notification sent whenever
any files within the folder are updated. You can select any number
of email recipients for these notifications.
Daily Activity Email Report
All folder activity throughout the day is summarized into an optional email
report sent each day to all GroupShare
members, or a customized recipient list. |
| How
to Enable Version Control |
|
To turn on Version Control
and try out the features, open the Properties screen for any folder or
your Root folder, and check the Version Control
options you wish to turn on.
No files will be changed in any way. You can remove Version
Control
at any time.
