Online Database Capabilities for
Files/Folders
MetaData enables you to create custom forms for any folder, then enter and save any type of information along with files and folders. A web-based spreadsheet offers rapid data entry, search filters, file and data record browsing, data export and other file actions, all from one screen. MetaData Custom Forms are defined to include dropdown lists, checkboxes, memo fields, and all other common field types. The MetaData form is defined for a folder, so all files and subfolders can accept data entry using the custom form, and you can define different forms for different folders in the account. MetaData data entry forms are especially useful for shared folders, so people in a workgroup can enter data associated with files being shared. MetaData is useful for organizing files, tracking information on each file, and making files easy to search later. Using the MetaData Spreadsheet, you can easily search for any saved data, and you can even enter new data on-the-fly with this web-based spreadsheet. You can also customize Search Filters, Export the MetaData into Microsoft Excel, and edit MetaData using the custom data entry form. Users can toggle between the Spreadsheet and the Form methods for entering data. The MetaData features are easily accessed from the toolbar in FilesAnywhere, and available to all users. There is no software to install, and the features are compatible with all popular web browsers. Business users can employ MetaData to quickly add web-based data entry forms, so entire teams can enter and access data records from any location. These "out of the box" database features are combined with FilesAnywhere's online file sharing features, so workgroups have a single place to work together on projects and stay connected anywhere. MetaData features can also be combined with FilesAnywhere's online document viewer, version control and version history features, so a simple document workflow can be created, shared and tracked, all online. For example, a finance office adds a MetaData Custom Form to track data associated with contract documents. Team members login to FilesAnywhere, save new documents to the contract folder and enter details about the contracts. They might use a dropdown list to select a contract type, the status or which person is currently assigned. They might click the calendar to select a contract date, enter a phone number, or click an option button. Other team members having shared access to the folder search for MetaData make direct edits. Users can also select matching files and take file actions, like downloading files, uploading new versions, or sending an email link to customers so they can download the files.
